Valentia integrates AI scribing into indici

FEATURE - Industry Innovation Article - Valentia Technologies Valentia Technologies has integrated several AI-powered scribing tools into its practice management system indici, giving clinicians the ability to automatically transcribe patient consultations and review the output before adding it to patient records.
The integration includes third-party medical scribing tools Heidi Health and Nabla, as well as general AI models like OpenAI's ChatGPT and Claude Sonnet. Integrating AI Sarfraz Ahmed, indici platform manager, says Valentia has taken two approaches to AI integration. "We have integrated with the AI scribes that are in the market, based on our users' requests. We have also integrated with what is available out there in the world, such as OpenAI's ChatGPT4O model hosted on Azure as well as Claude Sonnet 3.7," he explains. The integration allows clinicians to launch scribing tools within the patient context in indici. Once the consultation is finished, notes can be sent directly to the patient file without copy and pasting, reducing the risk of information being added to the wrong patient record. Andrea Lattarulo, general practitioner at Hillcrest Medical Centre says the indici Co-Pilot AI is a powerful tool for improving efficiency in general practice. “It’s live scribe feature captures the consultation and generates high-quality clinical notes, while also surfacing key elements like vitals, diagnoses, medications, labs and referrals in real time,” she says. “It has helped me stay more present with patients while producing clearer, more complete documentation. With its custom template function, it adapts easily to individual workflow and style — a smart, flexible addition to modern general practice." Custom prompts For the OpenAI and Claude models, Valentia has engineered default prompts that practices can use, with options to create custom prompts based on their needs. "We have provided three default prompts and have also given practices the option to build their own prompts if required.,” says indici product development manager Imran Rashid. "These models are becoming smarter with every release. It all goes back to prompt engineering – how good your prompt is.” The OpenAI and Claude models operate on a token-based system rather than a subscription model, allowing practices to purchase tokens as needed and allocate them to different staff members. Clinical lead from NorthCare MC Grandview Rd, Mohammed Tariq Ali, says the AI scribe means less time tethered to a keyboard and more time truly present with the patient. "In the rhythm of a busy consultation room, where every second counts and every word matters, indici AI-powered medical transcription (ChatGPT) offers a quiet but powerful support,” he says. “It listens in the background - discreet, accurate, and tireless - capturing each detail of the doctor-patient conversation without interrupting the human connection.”

Privacy and security Sarfraz says that patient privacy and data security sit front and centre in their AI implementation strategy. When using the AI scribing feature, both the original transcript and the AI-generated output are stored for audit purposes. "The way we are implementing AI in clinical workflows is to be assistive in nature. Nothing goes into a patient's file without the doctor seeing and verifying it," he explains. The AI scribing feature is part of indici's new GP Companion app, which was launched at the GPCME Rotorua conference on 6 June 2025.
